Figuring out the exact time between two dates seems simple until you sit down to do it. You might just need to know how long a project took, or exactly how old someone is today. Doing this math by hand is a handy skill for quick estimates. But calendar arithmetic gets messy quickly once you introduce varying month lengths and leap years.
Here is how to do the math yourself, and how to spot when doing it manually is just wasting your time.
How to calculate date difference by hand (Years, Months, Days)
To get a result in years, months, and days, you use calendar arithmetic. This is the exact same logic you learned for basic grade-school subtraction, just applied to the calendar. You subtract the start date from the end date, working right to left from the smallest unit (days) to the largest (years).
First, set up your equation. Write both dates in a Year−Month−Day format. Put the end date on top and the start date on the bottom. Let’s find the difference between March 15, 2022, and August 25, 2025.
End date: 2025 − 08 − 25 Start date: 2022 − 03 − 15
Subtract the days: 25 − 15 = 10 days.
Subtract the months: 8 − 3 = 5 months.
Subtract the years: 2025 − 2022 = 3 years.
The difference is exactly 3 years, 5 months, and 10 days. Simple enough.
The borrowing rule (When the math gets messy)
The straightforward method falls apart if the start day or month is a larger number than the end day or month. Since you cannot have negative days, you have to borrow from the next largest unit.
Let’s look at a harder example. Start date is October 28, 2023. End date is May 14, 2025.
End date: 2025 − 05 − 14 Start date: 2023 − 10 − 28
Start with the days. You cannot subtract 28 from 14. You need to borrow one month from the end date’s months column. Cross out the 5 and make it a 4.
Now, how many days do you add to the 14? You add the exact number of days in the month prior to the end date. The month before May is April, which has 30 days. Add those 30 days to your 14, giving you 44 days. Now subtract: 44 − 28 = 16 days.
Move to the months. You have 4 months on top and 10 months on the bottom. Again, you cannot subtract 10 from 4. Borrow one year from the years column, changing 2025 to 2024.
Add 12 months to the top months column: 4 + 12 = 16 months. Now subtract: 16 − 10 = 6 months.
Finally, the years. 2024 − 2023 = 1 year.
Your final result is 1 year, 6 months, and 16 days.
Counting total days by hand
Sometimes you do not want years and months. You just want the absolute number of days—say, 180 days instead of 5 months and 29 days.
This is much more tedious. You cannot just multiply the months by 30, because calendar months range from 28 to 31 days. Dividing total days by 30 only gives you a rough estimate.
To find the exact number of days manually, you have to count the days remaining in your starting month, add the total days for each full month between the dates, and finally add the days in the ending month.
Let’s map out the days from January 15, 2025, to April 10, 2025.

Total days in this span: 16 + 28 + 31 + 10 = 85 days.
Doing this by hand works fine for short spans. But if you are measuring across multiple years, counting month by month is a massive headache and incredibly prone to human error.
Figuring out business days
Business days are standard weekdays, Monday through Friday. If you need to know how many work days sit between two dates, doing it on paper takes a few extra steps.
First, calculate the total days between the dates using the method above. Next, figure out how many full weeks are in that span by dividing the total days by 7.
Multiply that number of weeks by 2. That accounts for Saturday and Sunday. Subtract those weekend days from your total.
For example, if you have a 24-day span, 24 ÷ 7 is 3 full weeks with a remainder of 3 days. Three full weeks means 6 weekend days. 24 − 6 = 18 days.
You are not done yet. You still have to manually check a calendar to see if those 3 remainder days happen to land on a weekend. If they do, you subtract those too. Keep in mind that common business day calculations usually exclude the end date itself.
Also, manual calculations will not account for public holidays. Since holidays vary heavily by region and country, you must look them up and subtract them yourself.
When to let the calculator do the work
Knowing how to do calendar arithmetic by hand is great for a quick mental check. Every four years, February gets an extra day. If your date range crosses February 29 of a leap year, your manual day count will be off by one if you forget to factor it in.
